Post a vacancy
Create a new job opening and share a public apply link.
A vacancy in HRHandle holds the description of an open role and acts as the destination for incoming applications. This guide walks through creating one from scratch and sharing the public apply link with candidates.
Open the new vacancy form
From the sidebar, click Vacancies, then Create Vacancy in the top-right corner of the vacancy list.

Fill in the core fields
Only three fields are required to save the vacancy: Title, Start Date, and About the Job. Everything else is optional and can be filled in later.

The About the Job field lives in the Vacancy Details section below. Use it to give an overview of the role.

Other fields worth setting up front:
- Location and Employment type — shown on the public job board and in the public apply form.
- Salary range and Currency — shown only inside HRHandle, not on the public page.
- Sector — used for filtering and reporting.
- Hiring manager — the person responsible for moving applications through the pipeline.
Choose a status
A new vacancy defaults to Draft. Move it to Open when you are ready to receive applications.

| Draft | Not visible publicly; no public apply link is generated. |
| Open | Visible on your public job board; public apply link works. |
| On hold | Hidden from public view; existing applications remain. |
| Closed | Vacancy is finalised; no new applications accepted. |
| Archived | Hidden from default lists; kept for historical record. |
Save and share the public apply link
After saving, you land on the vacancy detail page. Switch to the Apply Link tab to generate the shareable public form URL.

The link looks like https://hrhandle.com/apply/<token> and is unique to this vacancy. Anyone with the link can submit an application — no HRHandle account required on their side.
What happens next
When a candidate submits the public form:
- Their CV is parsed automatically and the form pre-fills with extracted data.
- A new candidate record is created in your organization's talent pool.
- An application is created in the vacancy pipeline at the Applied stage.
- Owners and admins receive an in-app notification.
- The applicant receives a confirmation email.
From there, work the candidate through the pipeline or schedule an interview.
